Community members learning digital skills in Whanganui  Purpose of the Survey

The Stakeholder survey focuses on identifying the needs, challenges, and opportunities of organisations, individual support stakeholders, and funders in promoting digital inclusion in Whanganui. The results will help shape actionable initiatives and collaborative efforts for Digital Inclusion Whanganui (DIW).

How This Survey Aligns with Our Objectives

The organisational needs analysis will:

  1. Assess the current capacity of organisations to support digital inclusion.
  2. Identify key challenges faced by organisations, individual support stakeholders, and funders.
  3. Explore opportunities for collaboration and partnerships.
  4. Provide actionable insights to inform DIW’s strategy and initiatives.
  5. Align with the long-term goals of creating a digitally inclusive Whanganui.

Survey Structure

Core Questions for Organisations

  1. Organisational Context:
    • What is your organisation’s primary mission, and how does digital inclusion align with it?
  2. Infrastructure:
    • Do you have the necessary digital tools and technology to support your operations and clients effectively?
  3. Client Needs:
    • What digital barriers do your clients face, and how does your organisation currently address these challenges?
  4. Internal Capacity:
    • Does your staff have sufficient digital skills to assist clients effectively? If not, what training or resources would help?
  5. Partnerships:
    • Are you currently collaborating with other organisations? If so, in what ways? What additional partnerships would be beneficial.
  6. Challenges:
    • What are the biggest obstacles your organisation faces in promoting digital inclusion?
  7. Support from Digital Inclusion Whanganui:
    • What specific support or resources from DIW would help your organisation achieve its goals? 

Individual Support Stakeholders

These include volunteers, advocates, and independent digital trainers.

  1. Role and Contributions:
    • What is your primary role in supporting digital inclusion and which demographics do you primarily assist?
  2. Challenges:
    • What barriers do you face when supporting clients (e.g., lack of resources, training gaps, coordination challenges)?
  3. Collaboration:
    • Are you collaborating with organisations or other stakeholders? How could collaboration be improved?
  4. Support from Digital Inclusion Whanganui:
    • What specific assistance or resources would enhance your ability to support

Process for Stakeholder Feedback

Stakeholders are invited to:

  1. Review the Questions: Are they clear, inclusive, and relevant?
  2. Suggest Additions or Edits: Are there other topics or questions we should include?
  3. Evaluate the Structure: Does the use of separate sections for organisations, individual support stakeholders, and funders work well?
  4. Propose Delivery Methods: Are there better ways to distribute the survey or engage stakeholders effectively?

Integration into the DIW Action Plan

  1. Needs Analysis: The data collected will provide a detailed understanding of organisational and stakeholder challenges and opportunities.
  2. Collaboration Opportunities: Insights will help identify potential partnerships and collaborative efforts.
  3. Resource Allocation: Findings will inform resource distribution and prioritisation for DIW initiatives.
  4. Sustainable Planning: The survey results will support funding applications and the development of long-term strategies.

Next Steps

  1. Set Up the Survey:
    • Create a Google Form titled “Organisational Needs Analysis Survey.”
    • Use the structure outlined in this document, with separate sections for organisations, individual support stakeholders, and funders.
    • Enable conditional logic (“Go to section based on answer”) for smooth navigation.
  2. Pilot Test the Survey:
    • Share the survey with a small group of trusted stakeholders for feedback.
    • Evaluate the clarity, structure, and functionality of the survey.
  3. Distribute the Survey Link:
    • Include the survey link in communications to all relevant stakeholders.
    • Provide clear instructions on how to access and complete the survey.
  4. Analyse Feedback:
    • Gather input from stakeholders about the survey content and process.
    • Refine the survey based on feedback to address any identified issues.
  5. Launch Full Survey:
    • Finalise and distribute the survey widely.
    • Use the collected insights to guide DIW’s organisational support and strategy development.

**Survey Data Use and Storage**

The data collected from the surveys will serve two primary purposes:

1. **Anonymised Analysis and Public Reporting** 
All survey responses will be anonymised and aggregated to produce key insights and results. These findings will be shared publicly to inform stakeholders about digital inclusion challenges, opportunities, and actionable initiatives in Whanganui. This process ensures the privacy of individual respondents while maximising the value of the data collected.

2. **Stakeholder Database Development**
Each survey, including names and contact details where provided, will be securely retained to build a comprehensive stakeholder database. This database will facilitate ongoing communication and collaboration with stakeholders as part of Digital Inclusion Whanganui’s efforts to foster partnerships and support digital inclusion initiatives. Personal data will be managed following strict confidentiality protocols to protect respondents’ information.

**Data Security and Retention Policy**

All survey data will be securely stored in compliance with applicable data protection regulations. Access to raw data, including identifiable information, will be restricted to authorised personnel only. The anonymised data will be stored indefinitely for analytical and reporting purposes, while the identifiable data will be retained only as long as necessary to maintain meaningful engagement with stakeholders.
